I, (the Client) agree to pay DictaAI Services Inc., DBA DictaAI, (the Vendor) for any/ all transcription, proofreading and translation work performed for me or on behalf of my company or institution.
In the case of any postpaid projects, I agree that DictaAI Services, Inc. has the right to charge my credit card in their record and email the transcripts to me if my files are not paid for within five (5) days of the completion of the transcription. I understand and agree that should I be invoiced for work performed by DictaAI, and should payment not be made directly to DictaAI within 30 days of the date of invoice, DictaAI holds the right to charge an additional 10% late fee to the total of the invoice.
DictaAI has a no refund, no cancellation policy. Once you have uploaded an order, it is your responsibility to pay the full amount of the order.
DictaAI reserves the right to reject any audio for transcription they deem to be of such poor quality that:

Our AI Transcription service guarantees over 90% accuracy for audio files that are deemed of "good" quality. For the needs of greater accuracy, we offer the options of AI + Human Review, and hundred percent Human Transcription Service, and Human Translation services, each guaranteeing over 99% accuracy for audio assessed as "good."
Should you have concerns about the accuracy of any transcription delivered, please contact us at info@dictaai.com within two weeks of receiving your transcript. While we strive for perfection, transcription can involve judgment calls, and no transcript is deemed "perfect." If the accuracy is below the promised threshold for "good" quality audio, we will review and amend any verified errors and return the corrected transcript promptly.
Please note, corrections will not be applied to orders with audio files considered of "difficult" quality, and DictaAI maintains a no-refund policy in these cases.
DictaAI charges per minute of audio, and not by the page count, or number of characters or words. This eliminates unwarranted charges that many other companies charge. Any "segment" of a minute at the end of an audio file will be rounded and added to the total minutes only if the "segment" is longer than 10 seconds.
Although we do endeavor for up to 99% accuracy or better for "good" audio, the Client agrees to release and hold harmless DictaAI Services, Inc., DBA DictaAI, its officers, employees, or representatives of any harm that may arise from the publication, quotation, distribution, or public use of a transcript or its part that may or may not contain typographical or factual errors. By signing this contract, the Client agrees that it is her/ his obligation to assure herself/ himself about the accuracy of a transcript before the information from a transcript is published, printed, or publicized in any other way and will not list or imply DictaAI Services, Inc., DBA DictaAI, its officers, employees or representative as a defendant in any litigations.
In case of your request for special formatting or the use of a specific template, due to the different versions of MS Word available and computer compatibility issues, despite our trying our best to adhere to it as closely as possible, we cannot guarantee that the transcript will be an exact match or that it will mimic your original template or sample precisely.
We will try our best to adhere to the original text format on your text-to-text orders but cannot guarantee that we will do so exactly. For PDF and scanned files, we cannot recreate the document or its formatting, so we will only transcribe or translate the text into a standard format. Any images, stamps, text boxes, tables, etc., in the original document, will not be recreated or included in the output file from DictaAI.
While our AI Transcription service typically processes and delivers transcripts within minutes, technical issues may occasionally extend this timeframe. We strive to minimize delays and appreciate your understanding and cooperation during these rare occurrences.
When choosing Human Review, Premium Transcription, Translation services turnaround times are calculated in business days.
We do not guarantee a specific time of day when we will complete and return your transcription project. It is always our endeavor to return your transcript at the earliest and mostly during business hours, we can only guarantee to return the transcripts by midnight of the due date at the time of the order submission.
Any uploads with the order of same day Service turnaround time must be uploaded prior to 12 PM (noon) Pacific Time (Monday through Thursday) to receive the transcripts the same day. The files which are uploaded after noon will not be processed until the next morning. The files with a Same Day Service Order or a turnaround time 24 hours, uploaded after 12:00 PM (noon) Pacific Time on Fridays will not be taken up to be processed until Monday. Any files uploaded during the weekend with a Same Day Service, or 24-hour turnaround time will not be processed until the subsequent Monday morning.
Although we rarely return transcripts later than the turnaround time deadline, the above conditions are subject to the following restrictions:
The original rate will be applicable for these long duration audios or large files even if there is a delay in delivery. We will do our best to get them done for you as soon as possible.
Any files submitted for AI + Human Proofreading Service will take 48 hours to be processed, excluding the weekends.
As per the provisions of our information security policy, we permanently delete client data from our systems and servers as per the following schedule. We do not keep the client transcripts in our system permanently and the client is responsible for saving their transcripts after their order is completed and delivered to them.
DictaAI does not provide Medical Transcription (MT) services. “Medical transcription is an allied health profession that involves transcribing voice-recorded medical reports dictated by physicians, nurses, and other healthcare practitioners. These reports can be in the form of voice files, notes from a lecture, or other spoken material. You, as a client, agree not to submit orders for Medical Transcription to DictaAI.
While DictaAI endeavors to complete the transcription work on time and accurately, we cannot absolutely guarantee the delivery time and date or quality of the transcripts to meet the clients' expectation when it is delivered. DictaAI will rework the transcript if it does not meet the minimum quality expected and will attempt to deliver the transcript on time. However, the client cannot hold DictaAI responsible for any losses due to a delay in delivery or inaccuracies in the transcript that may occur. By signing this contract, the client agrees to indemnify DictaAI from any losses that may be incurred due to project delays or accuracy of the transcripts.
Client agrees and understands that checking the box to agree to Terms and Conditions, or Terms of Service (TOS), binds Client to the Terms of Service (TOS) listed here. DictaAI Services, Inc., DBA DictaAI, holds the right to change or modify these Terms of Service (TOS) agreement on occasion. Any modifications or changes made will be displayed on the www.DictaAI.com website.
This Agreement contains the entire agreement between the parties and there are no other promises or conditions in any other agreement either oral or written. This Agreement supersedes any prior written or oral agreements between the parties. This Agreement may be modified or amended if the amendments are made in writing and are signed by both parties.
